Question 1

What do you actually do each month?

Accepted Answer

We categorize every transaction, reconcile every bank and credit card account to its statement, match payouts from platforms like Stripe, Shopify, PayPal, and Amazon to the deposits they created, and review the month before we close it. Then we send your P&L, balance sheet, and cash flow statement by the 15th of the following month.

Question 2

Who does the work?

Accepted Answer

A named accountant who stays with your books month after month, so you are not re-explaining your business to someone new. Filed Books is powered by TaxFlow Labs, whose team keeps the books and reviews every close.

Question 3

Which accounting software do you use?

Accepted Answer

QuickBooks Online or Xero. If you already use one, we work in your existing file. If you don’t, we set one up for you and you own it.

Question 4

Do you do cash or accrual books?

Accepted Answer

Either. Most small businesses start on a cash basis. If you need accrual books, for investors, a lender, or GAAP-style reporting, tell us at onboarding and we will keep them that way, or help you move over.

Question 5

Do you prepare tax returns?

Accepted Answer

Tax returns are a separate service from bookkeeping. TaxFlow Labs prepares business and personal returns for its bookkeeping clients, so the two hand off cleanly. Every plan includes a year-end package ready for whoever prepares your return.

Question 6

Do you handle payroll or pay my bills?

Accepted Answer

No. We record payroll from your payroll reports and track what you owe, but running payroll and paying bills stay with you and your payroll provider.

Question 7

How much does it cost?

Accepted Answer

Business plans run from $399 to $1,199 a month, priced by how much the business spends in a typical month, from up to $15k to up to $200k. Freelancers and solo operators with one bank account and one revenue stream can start at $99 a month. Above $200k a month, we quote a custom plan with the same inclusions.

Question 8

Why price by expenses instead of transactions?

Accepted Answer

Because you can work it out yourself before you talk to anyone. Monthly expenses track how much work your books take far better than a transaction count, and they don’t punish you for having lots of small sales.

Question 9

What if my expenses change?

Accepted Answer

Your accountant looks at your actual spending at onboarding and again as the months go by. If you move into a different band for more than a month or two, we tell you before your plan changes, never after.

Question 10

What does it cost to catch up on past months?

Accepted Answer

Cleanup is quoted separately, as a flat price, after we look at what needs catching up. You approve the quote before any cleanup work starts, and nothing is charged for it at sign-up.

Question 11

Is there a contract?

Accepted Answer

No annual contract. Your plan renews monthly on the card you sign up with, and you can cancel any time before your next billing date.

Question 12

Can I get a refund?

Accepted Answer

If you cancel before your onboarding call, we refund your first month. After that, a month that has started is earned, and cancelling stops the next charge.

Question 13

What happens after I sign up?

Accepted Answer

Your first month is charged and your confirmation arrives by email. Within one business day your accountant reaches out to schedule onboarding, where we connect your accounts, set up your chart of accounts, and agree on what your monthly reports should show.

Question 14

What do I need to have ready?

Accepted Answer

Access to your business bank and credit card accounts, your accounting software if you already have it, and your sales platforms. Read-only access is all we need. We never need your online banking password.

Question 15

How long until my first financials?

Accepted Answer

If your books are current, your first set of statements arrives by the 15th of the month after onboarding. If you are catching up, we agree on a timeline when we quote the cleanup.

Question 16

I’m outside the United States. Can you still help?

Accepted Answer

Yes. Many of our clients are founders abroad whose U.S. company needs clean books to file its U.S. tax returns. Everything is done remotely, and we work across time zones by email.

Question 17

How am I billed?

Accepted Answer

Your first month is charged when you sign up. After that, the same amount is charged to the same card on the same day each month. Your card is kept on file securely by our payment processor. We never see or store your full card number.

Question 18

How do I cancel or change my card?

Accepted Answer

Use our contact form, with your reference number, before your next billing date. A real person confirms the change by email.

Question 19

Who owns my books?

Accepted Answer

You do. Your accounting file, reports, and records are yours, and if you leave we hand everything over.
